The first field that decides everything else
Thickness is where a stainless sheet enquiry most often starts, and where it most often stops being precise. A nominal number without its unit, or without the tolerance basis it is quoted against, cannot be compared between two quotations — and cannot be inspected at goods-in.

Finish is a fabrication input, not a cosmetic afterthought
The finish designation determines the surface the fabricator receives, how it behaves through forming, and what the installed part looks like after cleaning. Two sheets that carry the same grade and the same thickness can be entirely different products if the finish callout differs.
Where the sheet will be welded, formed or finished on site, the finish designation has to be agreed with the fabricator before the order is placed — not selected from a photograph after delivery.
Decision implication: state the finish designation in writing on the enquiry. If a visual standard governs acceptance, name the sample or reference it is measured against, so the release inspection has something objective to check.

Quality and documentation
What the certificate has to prove, and who reads it
On a stainless sheet order the inspection documents are the product record. They are read at goods-in, at fabrication, and years later by whoever audits the installed asset. Three separate parties check three different things.
Identification is the first inspection
Before any test result is examined, the delivered material has to be identifiable against the order: the grade, the heat or lot reference, the dimensions and the quantity. Where that identification is unclear at goods-in, the certificate cannot be matched to the physical sheet, and the receiving inspection fails on a technicality that costs a week.
Packing and marking protect the finish in transit as well as the identity of the material. Stainless sheet that arrives with surface damage is a rejected delivery even where every test result is correct.

Who reads the certificate
Your receiving inspector, your fabricator's QA function, and eventually the project's document controller. Each looks for a different field, and a certificate that is complete for one is not automatically complete for the others.
What the document set has to reconcile
Grade and standard, the reported analysis, the reported mechanical results, the dimensions delivered, and the identification on the bundle. A document set that cannot be reconciled to the delivered bundle is not a complete delivery.
Where enquiries usually fail
The certificate requirement is discovered after the order is placed, or the standard edition on the certificate does not match the edition the project specification cites. Both are avoidable at the enquiry stage and expensive afterwards.

Material basis
Why the 304 family exists, and what composition is for
The 304 designation belongs to a family defined by its alloying approach rather than by a single fixed recipe. Understanding what each element is there to do makes the certificate readable — and makes substitution attempts visible.
Chromium
The element that makes the family stainless at all. It forms the passive surface layer that gives the material its corrosion behaviour — and it is the reason finish and cleaning matter, because that layer has to be able to re-form.
Nickel
Stabilises the structure and contributes to toughness and formability. Its presence is part of what distinguishes this family from the ferritic stainless grades, and it is one of the elements most often at issue in a substitution question.
Carbon
Controlled within the specification's limits. The low-carbon variants of the family exist because carbon content influences behaviour at welds — which is why the fabrication route belongs on the enquiry alongside the grade.
Molybdenum
Not part of this grade's specification. It appears in molybdenum-bearing grades of the same family, which is why a comparison to those grades is a question about the environment rather than a simple upgrade.
Reading the certificate's composition report
The certificate reports an analysis against the standard the order was placed to. That analysis is the record that the delivered material is the material that was ordered — and it is the only place where a composition difference becomes visible before the sheet is fabricated.
Checking the reported analysis against the standard the project cites takes minutes at goods-in. Discovering the same difference after the components are welded into an assembly does not have a cheap remedy.
Evidence requirement: require the composition report to cite the same standard edition the project specification names. Grade comparison
Comparing 304 with other stainless grades, and why a name is not an equivalence
The most expensive ordering mistake in stainless sheet is treating two similar grade names as interchangeable. Equivalence is determined by the specification your project cites, by the service environment, and by what the certificate actually reports.
Same family, different grade
Grades within the same family differ in composition and in the environments they are intended for. A grade comparison is a question for the party responsible for the design — not something settled by matching names in a table.
Similar designation, different standard
The same designation can appear in more than one specification system, each with its own requirements and its own reporting. The standard edition on the order is what the certificate has to match.
Different family entirely
Coated, cold rolled and stainless sheet are specified, inspected and fabricated on different criteria. A change of family is a change of specification logic, not a like-for-like swap.

How a substitution should be documented, if one is approved
Record the basis, not the conclusion
A substitution approval is only durable if it records which requirement the substitute was assessed against and who assessed it. "Accepted as equivalent" with no stated basis cannot be defended at an audit, and cannot be relied on by the next person who reads the file.
Re-check the document set
The reporting requirements follow the standard. Where a substitute is proposed against a different standard, the certificate set that applies changes with it — and the receiving inspection has to be told what to expect before the material arrives, not after.
Re-check the finish requirement
Finish is designated per product and per application. A substitute that satisfies the composition requirement may still fail the surface requirement — and a surface failure is found at installation, which is the most expensive possible moment.
Re-check the fabrication route
Welding procedure, forming behaviour and any post-weld treatment were agreed against the original grade. Where the grade changes, those assumptions have to be revisited by the fabricator before the material is released to production.
